What you will do:
The Admin Support Coordinator will provide support in marketing, sales, operations, and compliance to ensure the smooth functioning of Brokerage Operations in the Dominican Republic. This role involves assisting agents with marketing inquiries, supporting onboarding processes, managing communications, coordinating events, and facilitating training sessions.
- Operational Efficiency and Administrative Duties:
- Greet and welcome guests as soon as they arrive at the virtual reception in eXp World.
- Support the onboarding process for new agents, ensuring they understand and utilize company marketing systems effectively.
- Manage daily communication with agents to ensure deadlines are met.
- Manage calendars and Trello boards for agent activities.
- Provide administrative support to the Growth Director.
- Manage special projects as directed, supporting Brokerage Operations and Marketing Teams in various initiatives.
- Other duties as assigned
- Marketing and Sales Support:
- Assist agents with marketing inquiries.
- Ensure new agents are fully equipped with necessary marketing materials and branding knowledge.
- Compliance and Process Management:
- Maintain strict adherence to established sales and marketing procedures.
- Ensure all campaign orders and marketing activities comply with internal guidelines.
- Communication Management:
- Assist in generating and distributing communications to agents.
- Ensure all staff and agents are informed of updates and changes.
- Training and Development:
- Facilitate training sessions and workshops to enhance team skills and knowledge, particularly in marketing and operational tools.
- Event Organization:
- Organize roadshows and manage logistics for business presentations, including travel and hotel reservations.
- Ensure the smooth execution of these events.
- Documentation and Recording:
- Manage and store documentation effectively.
- Record presentations for future reference.
How you will grab our attention:
- Proven work experience as a Receptionist, Front Office Representative, or similar role in the Real Estate industry.
- Bi-lingual skills – beneficial.
- Proficiency in Microsoft Office Suite.
- Professional attitude.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Hands-on approach and 'can-do' attitude.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Passion for customer service – focused on achieving positive results.
- High school diploma or equivalent.
- Ability to handle pressure well.
- Must be able to work remotely.
